We seeking a highly motivated and experienced EXECUTIVE ASSISTANT & EXECUTIVE PAYROLL ACCOUNTS PAYABLE. This position is to provide high-level Executive support to CEO.
Our company is searching for an experienced, reliable and task-oriented Executive Assistant to the CEO. The Executive Assistant will work directly with C-level executives and will be responsible for performing several administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. We are looking for a highly motivated, detail-oriented, team player to be our Executive Assistant to the CEO. The ideal candidate will be enthusiastic, highly motivated to succeed, friendly and able to work closely as a member of the entire organization. This individual must be a strong multi-tasker and independent problem-solver, have excellent communication and project-management skills, work well under supervision and be extremely organized.
The Executive Assistant to the CEO will be responsible for coordinating and implementing a wide range of administrative, communication, and logistical services in support of the work of the CEO and the organization. This individual will own, manage and act on the CEO behalf in making decisions in regard to the CEO’s schedule and will serve as a professional resource to the executive staff when conceptualizing, planning and implementing initiatives.
Main Job Tasks & Responsibilities:
Direct Assistance to the CEO
Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
Proficiency in collaboration and delegation of duties
Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
Exceptional interpersonal skills
Friendly and professional demeanor
Manage and maintain executives' schedules, appointments and travel arrangements
Prepare and edit correspondence, communications, presentations and other documents
File and retrieve documents and reference materials
Monitor, screen, respond to and distribute incoming and outgoing communications
Provides complete executive level assistance and administrative support to the CEO including calendar management, correspondence, phone calls, filing, travel planning and itineraries, research, preparing reports and presentations, ordering lunch, and event coordinating.
Other Duties and Responsibilities:
Ability to maintain privacy and confidentiality. Requires good oral and written communication skills. Representation of the CEO and institution internally and externally. Will work collaboratively with other administrative staff within the company to foster consistency in message and team work;

3+ year experience supporting at the executive level;
B.A. degree or master’s degree;
This position is full time and is scheduled 9:00am – 5:15pm Monday through Friday. All candidates must pass a background screening and a drug test to be considered for this position.
Education & Experience:
Minimum 3 years of experience providing administrative support to senior executives
Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
Proficient in business management software (e.g., QuickBooks)
Knowledge of standard office administrative practices and procedures
Bachelor’s degree preferred
Bilingual English and Spanish. Perfect English is a must
